The problem
Cascata Health runs a small network of outpatient physiotherapy clinics across northern Portugal. Bringing a new clinic onto their systems meant a shared spreadsheet, a folder of emailed PDFs, and a person manually re-entering the same clinic details into three separate tools. Onboarding a clinic took three weeks on average — most of it waiting on someone to find time to do the data entry, not on anything the clinic itself was doing.
The team had already tried a no-code database tool. It held the data, but every clinic-specific exception meant a workaround that broke the next clinic's setup.
Our approach
- Discovery — Mapped the actual onboarding workflow with the ops team, clinic by clinic, to find where the three weeks actually went.
- Design — A single client portal: one form of record per clinic, role-based access for clinic staff vs. HQ.
- Build — A custom web application replacing the spreadsheet-plus-PDF-folder process entirely, built on the Web Application Development service.
- Handover — Clinic staff onboarded on the new portal directly; HQ retained full admin control.
